We are seeking a detail-oriented and proactive Facilities Assistant to support daily operations of our workplace environment. This role involves coordinating office remodels, relocations, fleet management, and vendor relationships to maintain an efficient and well-functioning workspace.

B&N Facilities Assistant Responsibilities:

  • Assist with office remodel and relocation activities, including helping with furniture layout changes and move coordination.
  • Support fleet management tasks such as scheduling vehicle maintenance, logging fuel usage, and maintaining vehicle records.
  • Help oversee print room functions by managing printing requests and restocking supplies.
  • Assist in mailroom operations including sorting, shipping, and mail distribution.
  • Support the ordering and distribution of office equipment and supplies.
  • Assist with cellular device inventory and basic setup tasks under guidance.
  • Processing invoices by gathering documents and preparing submissions for approval.
  • Communicate with vendors and internal teams for daily facility needs and minor operational issues.
  • Assist with facilities maintenance.

Skills & Qualifications:

  • High school diploma
  • 5+ years of previous experience in facilities support, office assistance, or related roles preferred
  • Excellent communication skills, both verbal and written, along with proficiency in Microsoft Office
  • Ability to multitask, work collaboratively, and respond flexibly to changing priorities
  • Strong organizational skills
  • Strong attentive to detail and accuracy
  • Microsoft Office Suite required, with proficiency using Excel and Word
  • Ability to travel to all B&N offices, including overnight stays, up to 15% of the time
  • A valid driver’s license and acceptable driving history 
  • Ability to lift and carry 50 lbs. with high levels of exertion
