Interested in working with senior-level civil engineering professionals at an established A/E firm that values employee input and collaboration? Burgess & Niple is seeking an Administrative and Project Manager Assistant to join our Norfolk, VA office.

What you can expect as the major duties and responsibilities:

  • Providing general administrative support as requested by Project Managers
  • Assisting the Project Manager with the preparation and subsequent administrative processing of fee proposals and contract documents
  • Initiating invoice setup terms with client’s accounting division and assisting with the tracking of monthly invoices to clients
  • Assisting with the processing of invoices from subconsultants for payment
  • Editing of specifications from design team markup and creation of the submittal register  
  • Processing of construction administration material submittals
  • Preparation of meeting minutes and response to comment letters for Project Manager.
  • Communicating with clients, design team members, and others as required
  • Ordering supplies, answering the phone, distribution of mail, and maintaining files
  • Assisting project team members with travel arrangements as requested

You may be a good fit if you have these skills and qualifications:

  • At least 5 years of Administrative Assistant experience
  • Prior A/E or Construction firm experience is a plus
  • Excellent communication skills and detail oriented
  • Proficient in Microsoft Office Suite, experience in AIA Contract Documents, MasterSpec, and Specsintact a plus
  • Self-motivated and adaptable, including the capability to learn virtual collaboration tools
